Best Data Recovery Software: An Honest Guide From a Recovery Lab

Search for the best data recovery software and you’ll find dozens of “top 10” lists, many of them built around affiliate commissions. This guide is different. We don’t earn anything from any software sale, and we’re not going to rank tools against each other in ways we can’t back up. Instead, we’ll explain the main categories of recovery software, what each is genuinely good at, how to pick one for your situation, and the cases where no software will help.

There’s no single “best data recovery software”

The right tool depends on what went wrong, not on which brand has the slickest website. A tool that’s excellent at undeleting a file from a hard drive may be useless for a lost partition, and no tool at all can fix a drive with a failed head. So start by matching the problem:

  • Deleted files on a healthy drive → an undelete tool or a general consumer recovery app
  • Formatted drive or RAW partition → a tool that scans for file system structures or carves files by signature
  • Lost or deleted partition → a partition-recovery tool such as TestDisk
  • Photos and videos from a memory card → a file-carving tool such as PhotoRec, or a consumer app
  • Clicking, not detected, dropped, or wet → not a software problem at all (more on this below)

Free data recovery software

Genuinely free data recovery software exists, and some of it is very capable. It’s worth knowing what “free” means in each case.

Free and open-source: PhotoRec and TestDisk

PhotoRec and TestDisk are free, open-source tools from CGSecurity that run on Windows, macOS, and Linux. They’re distributed together in one download.

  • PhotoRec ignores the file system and searches the raw disk for known file signatures (file carving). That makes it effective on formatted or corrupted drives, but recovered files lose their original names and folder structure. See our guide on how to use PhotoRec.
  • TestDisk finds and repairs lost partitions and damaged boot sectors, and can also copy files out of a found partition. It’s powerful but text-based, and writing a wrong partition table can make things worse. See how to use TestDisk.

There are no recovery caps or upsells. The trade-off is a text-based interface (PhotoRec also has a basic graphical version, QPhotoRec) and a steeper learning curve.

Built-in options you may already have

Before downloading anything, check what your operating system offers:

  • Windows File Recovery is a free command-line tool from Microsoft, available from the Microsoft Store for recent versions of Windows 10 and Windows 11. It’s capable, but there’s no graphical interface.
  • File History (Windows) and Time Machine (macOS) restore earlier copies of your files, but only if they were turned on before the loss.
  • The Recycle Bin, Trash, and cloud-service “recently deleted” folders are worth checking first. They’re the easiest wins.

Backups and the Recycle Bin or Trash cost nothing and require no new software, so check them before you install anything.

“Free” consumer tools

Several commercial apps offer a free edition. Usually that means a free scan and preview, with recovery capped at a limited amount of data or requiring a paid license. Recuva has long offered a genuinely free edition, with a paid Professional version alongside it. Free-tier terms change over time, so check each product’s official site before you start a long scan.

Consumer recovery apps

These are polished, guided tools aimed at non-specialists:

  • Recuva (Piriform, CCleaner family), for Windows. See is Recuva safe.
  • Stellar Data Recovery, for Windows and macOS, sold in several editions.

Their strengths are ease of use and previews, so you can see whether files are intact before paying. Their weaknesses are the weaknesses of all software: they can’t fix hardware, and they can’t recover data an SSD has already cleared.

Advanced tools

R-Studio (R-Tools Technology) runs on Windows, macOS, and Linux and is aimed at experienced users and IT professionals. It offers more control than consumer apps, including disk imaging and features for reconstructing RAID arrays, but it assumes you understand partitions, file systems, and disk images.

How to choose the right tool

Ask yourself these questions, in order:

  1. Is the drive healthy? If it’s clicking, grinding, disconnecting, or not detected, stop. Software isn’t the answer. Our guide to checking hard drive health can help you tell.
  2. Do you have a backup? Check Time Machine, File History, cloud sync, and the Recycle Bin or Trash first.
  3. What kind of loss is it? Deleted, formatted, lost partition, or RAW. Pick a tool built for that job.
  4. Which platform are you on? Not every tool supports macOS or Linux.
  5. How comfortable are you with technical tools? Free open-source tools are powerful but less guided. Consumer apps trade cost for convenience.
  6. Can you preview before paying? For paid tools, only buy after a preview shows your files are intact.

When data recovery software can’t help

No software, free or paid, can recover data in these situations:

  • Clicking, grinding, or beeping hard drives. These are mechanical failures that need cleanroom work, and scanning adds damage.
  • A drive that isn’t detected by the computer or BIOS. If the system can’t see the drive, software has nothing to scan.
  • SSDs after TRIM. Most modern SSDs clear deleted data on their own, often soon after deletion.
  • Encrypted drives without the key. Without the password or recovery key, the data can’t be decrypted.
  • Data that’s already been overwritten.

Ground rules for any recovery software

Whichever tool you choose:

  • Install it on a different drive than the one you’re recovering.
  • Recover files to a different drive, never back to the source.
  • Image the drive first if the data is irreplaceable, and scan the image.
  • Download only from the official site. Avoid cracked or repackaged copies.
